Cohort scheduling and seat management
Seat management is the set of rules that decide who can book, how fast a funded block is consumed, and what happens when demand is higher than capacity. It is administration, and getting it wrong is the most common way a well funded program fails.
All of it runs on anonymized identifiers, so no part of it requires anyone to be named.
How is a seat drawn down?
Someone with a valid identifier books an appointment, and one seat is drawn from the block when that appointment happens. A booking that is moved does not consume a seat twice.
Because seats are drawn on delivery rather than on booking, a cancelled appointment returns capacity to the block automatically.
- A seat is consumed when a session is delivered, not when it is booked.
- Rescheduling does not consume an extra seat.
- Late cancellation handling is set in the rider, not invented case by case.
- Remaining seats are visible to the administrator as a number only.
How does a waitlist work without names?
The waitlist holds identifiers and the time windows that person said they could attend. It is ordered by when they joined it, which is the only ordering rule that does not require knowing anything about them.
We do not accept a priority list from an organization. A priority order supplied by an employer would tell us something about the people on it, and it would tell the people at the bottom something too.
What happens when demand is higher than the seat block?
Two options, and the organization chooses in advance rather than in the moment. Either the cadence cap holds and the waitlist carries into the next period, or the block is extended by written variation.
There is a third option people ask for and we decline. We will not open seats to some identifiers and not others based on anything the organization tells us about them.
How does overflow eligibility work?
Overflow is where a person who does not hold an identifier wants to attend. They book privately at published rates, exactly as any member of the public would, and the organization is not involved or informed.
That path keeps the funded program clean. A seat is either drawn against a valid identifier or the visit is a private booking, and the two never mix on one appointment.
